The following time arrangement is for reference only. In case of any absence or if some presentations are less than 15 minutes, please come before your session starts.

*A best presentation will be selected from each session which will be announced and awarded an excellent oral presentation certificate at the end of this session.

General Presentation Tips

Present Your Paper: Get ready to present your paper at a conference. A key part of the research and review process is presenting and defending your work in front of peers at a conference.

The first step in getting ready to present your paper is to determine what key message you want to communicate to your audience. Most conference presentations are 10-20 minutes long, so you will not have time to present all the details of your work. The objective of your presentation is to get people interested in your work, not to explain it to them fully.

Organize your talk with these tips:
  • Begin by stating the purpose or goal of your research. Tell the audience why your work is important.
  • Provide a very brief literature review. This will give the audience some context.
  • Move on to the main points of your own research.
  • Conclude by reiterating the importance of your research and emphasizing the key points.
Tips for Creating Presentation Slides

Remember that your slides do not have to tell the story on their own. Slides are meant to illustrate your work, not explain it entirely.

  • Use graphics where possible. Limit text to phrases and bullet points, rather than full sentences.
  • Once you have drafted your slides, record yourself practicing your talk with the slides so that you can identify areas for improvement.
  • Be sure to stay within your time limit and leave time for questions from the audience.

Presentation Duration

Regular Oral Session: 15 Minutes of Presentation including Q&A.

Dress Code
  • All participants are required to dress formally
  • National formal dress is acceptable
Oral Presentation Guidelines
Time Management

Oral presentations are limited to a maximum of 15 minutes total, including speaking time and discussion. Please make sure your presentation is well timed. Please keep in mind that the program is full and that the speaker after you would like their allocated time available to them.

File Preparation

You can use a USB flash drive (memory stick), but make sure you scanned for viruses on your own computer. Each speaker is required to meet their session chair in the corresponding session rooms 10 minutes before the session starts and copy the slide file (PPT or PDF) to the computer. It is suggested that you email a copy of your presentation to your personal inbox as a backup.

Technical Setup

Please note that each session room will be equipped with a LCD projector, screen, point device, microphone, and a laptop with general presentation software such as Microsoft PowerPoint and Adobe Reader. Please make sure that your files are compatible and readable with our operating system by using commonly used fonts and symbols. If you plan to use your own computer, please test the connection and make sure it works before your presentation.

Movies and Media

Movies: If your PowerPoint files contain movies please make sure that they are well formatted and connected to the main files.

Poster Presentation Guidelines
Poster Format
  • Poster must be in portrait format (height > width)
  • Please mark your paper ID on the left head corner
Location
  • Number stickers will be placed on the ground under each stand
Attendance
  • Please sign in on the session chair's form before your session starts
  • At least one author should stand by the poster for (most of the time) the duration of his/her poster session
Setup and Removal
  • Put up the poster at least 15 minutes before your session starts
  • Remove your poster at the end of the session
Flash Talk & Abstract Poster Guidelines
Flash Talk Format
  • Each flash talk is strictly limited to 90 seconds (no extensions)
  • Only one static PDF slide is allowed (no animations or transitions)
Poster Format
  • Poster must be in portrait format (height > width)
  • Please mark your paper ID on the left head corner
Attendance
  • Please sign in on the session chair's form before your session starts
  • Poster discussion session lasts for 90 minutes
  • At least one author should stand by the poster for (most of the time) the duration of his/her poster session
Setup and Removal
  • Put up the poster at least 60 minutes before your session starts
  • Remove your poster at the end of the session
